What 'Automated Attendance' Actually Means
Automated student attendance means the system records who is present without requiring a teacher to call names, without students signing paper registers, and without admin staff manually compiling reports.
The practical reality in a DRAIS-powered Ugandan school: a student touches a fingerprint scanner at the classroom or gate entrance, the system identifies them in under 2 seconds, marks them present with a timestamp, and (if absent for longer than the configurable threshold) sends their parent a WhatsApp message — all with zero teacher involvement.
This article explains exactly how to get from your current manual system to this state, with specific guidance for the Ugandan school context.
Step 1: Assess Your School's Readiness
Before buying any hardware or software, complete a quick readiness check:
**Student count:** How many students need to be enrolled? DRAIS supports 50 to 5,000+.
**Connectivity:** Does your school have any form of internet access (mobile data, Wi-Fi, fiber)? Even slow, intermittent connectivity is sufficient — DRAIS is offline-first and only needs occasional sync. No internet: the system still works, notifications are queued.
**Power supply:** Do you have reliable power for at least 6 hours of the school day? If not, can your IT setup run from a UPS or laptop battery? A standard laptop battery provides 4–6 hours of DRAIS operation without external power.
**Device availability:** You need one computer or laptop to run the main DRAIS server software. Most schools already have a suitable device. Minimum spec: Intel Core i3 or equivalent, 4GB RAM, Windows 10 or Ubuntu.
**Parent contact database:** You will need a record of parent names and phone numbers. If this currently exists in a paper file, allocation 1–2 days for data entry. If it's already in a spreadsheet, DRAIS can import it directly.
Step 2: Choose and Procure Hardware
DRAIS requires one fingerprint scanner per attendance point. For most schools, you need:
**Gate/entrance scanner:** One scanner at the main student entrance. Records daily arrival time for all students.
**Classroom scanners (optional):** One per classroom for period-by-period tracking. Recommended for secondary schools where students change rooms between periods.
**Recommended hardware:** We recommend the ZKTeco ZK4500 USB fingerprint scanner (UGX 90,000–110,000, available at computer shops in Kampala and Jinja) or the DigitalPersona 4500 series. Both are fully compatible with DRAIS.
**Total hardware cost for 400-student school with gate tracking only:** UGX 200,000–300,000 (2 scanners + mounting brackets).

Step 3: Install and Configure DRAIS
DRAIS installation is handled by Xhenvolt engineers. For sites within 100km of Iganga or Kampala, we visit on-site. For distant locations, we can guide your school's IT staff remotely via WhatsApp video call.
Configuration covers:
**School structure setup:** Class names (S1A, S1B, P1, P2...), teacher assignments, term calendar, grading system, fee schedule.
**Hardware integration:** Connecting fingerprint scanners to the DRAIS server, testing scan reliability, configuring alert thresholds (e.g., notify parents if student is more than 15 minutes late).
**Parent communication setup:** Configuring WhatsApp notification templates in Luganda, English, or your preferred language. Testing delivery to confirmed parent numbers.
This step takes 4–8 hours for a typical school.
Step 4: Enroll Students' Biometric Data
Student fingerprint enrollment is a one-time process. Each student places their index finger (and backup thumb) on the scanner while a staff member confirms their identity and student number.
Enrollment rate: approximately 80–100 students per hour with one scanner.
For a school of 400 students, allow one full school day for enrollment. We recommend doing it class by class during assembly periods so instruction time is not disrupted.
Students who have difficulty with fingerprint scanning (approximately 3–5%) are enrolled with backup fingers or assigned a card/PIN alternative. No student is left unenrolled.
Parent notification is sent when each student is successfully enrolled, informing them that the new system is active and explaining how WhatsApp notifications will work.
Step 5: Train Teachers and Administrators
DRAIS is designed to require minimal daily action from teachers. The primary training needed is:
**For teachers:** How to view their class's attendance dashboard (a simple web page accessible from any smartphone), how to manually override a scan if a student's biometric scan failed, and how to flag a student as excused.
**For administrators:** How to generate weekly and termly attendance reports, how to configure parent notification triggers, and how to manage the student and staff database.
Training typically takes 2 hours per group (teachers separately from admin staff). Xhenvolt provides printed guides in English and can produce guides in Luganda or Runyankole on request.
Step 6: Run Parallel for One Week, Then Go Live
We strongly recommend running DRAIS alongside your paper register system for one week before retiring manual processes. This builds teacher confidence, catches any scan reliability issues with specific students, and allows comparison between biometric data and existing records.
At the end of the parallel week, you will typically find: - DRAIS attendance records closely match paper registers (within 2–3%) - Several chronic absentees identified in DRAIS data who appeared present in forged paper registers - Teachers reporting time savings of 8–12 minutes per class period
After one week of parallel running, retire the paper registers and operate fully on DRAIS. Most schools never look back.
